LeadLink Concierge ("LeadLink", "we") provides AI-assisted customer messaging services on WhatsApp for businesses such as salons and clinics ("our clients"). This policy explains what information we handle, why, and the choices available — whether you are a business client of ours or a customer messaging one of our clients.
Information we handle
- Business client information: contact details, business details (services, prices, opening hours, tone preferences), and billing information needed to provide the service.
- Conversation data: when you message a business that uses LeadLink on WhatsApp, we process the contents of that conversation, your WhatsApp display name and phone number, and message timestamps — solely to operate the messaging service for that business.
- Website data: our website does not use advertising trackers. Standard technical logs (such as IP address and browser type) may be processed by our hosting provider for security and reliability.
How we use it
- To generate and send replies on behalf of the business you contacted, including with the assistance of artificial-intelligence language models.
- To capture enquiry details (for example, a requested service and preferred time) and pass them to that business's team.
- To send occasional service-related follow-ups on the business's behalf, in line with WhatsApp's business messaging policies. You can opt out of messages from a business at any time by replying to say so, or by blocking the number in WhatsApp.
- To produce aggregated reporting for the business (for example, when enquiries peak and where they drop off).
We do not sell personal information. We do not use conversation data for advertising, and we do not use it to train our own or third-party AI models.
Who processes data on our behalf
We rely on established providers to deliver the service, each processing data only as needed to provide it:
- Meta / WhatsApp — message delivery over the WhatsApp Business Platform (subject to WhatsApp's own terms and privacy policy).
- 360dialog GmbH — official WhatsApp Business Solution Provider connecting businesses to the WhatsApp Business Platform.
- Anthropic — AI language model used to draft replies. Conversation content sent via this service is not used by Anthropic to train its models.
- Render — secure cloud hosting of our systems.
Retention
Conversation and enquiry data is retained while the relevant business remains a LeadLink client, so their team can view history and reports. When a client relationship ends, we hand over the client's data on request and delete it from our active systems within 30 days.
Security
Data is transmitted over encrypted connections (HTTPS), access credentials are stored encrypted, and access is limited to what is required to operate the service.
Your choices
- To stop receiving messages from a business, reply to that business asking to opt out, or block the number in WhatsApp.
- To ask what information we hold about you, or to request correction or deletion, contact us at the address below. We will respond within 30 days.
